Application Background

**Application departments and objects:** Finance departments of large government agencies and group companies

Current business situation and pain points:

1) Large volume of documents: tens of thousands or more per year;

2) Complex document types: 5 major reimbursement forms, 2 major labor fee forms, 2 major medical fee forms, etc.;

3) Slow processing speed: documents are first placed into designated large iron boxes, then designated financial staff retrieve them centrally and manually assign them to each finance staff in the system;

4) Poor security: documents placed in large iron boxes may get lost, and there is a risk of information leakage;

5) Poor work flow transparency: it is impossible to track or query the current process step of a document.

Construction Results

  • Practicality first: based on the existing system, solve the problem of no trace in current document drop-off operations. The drop-off cabinet first scans the barcode of the document. The system determines whether the document meets the drop-off conditions, and multiple layers of related logs and monitoring enable trace tracking.
  • Resource integration: solve the need to assign a dedicated teacher to extract and manually distribute documents. When dropping off documents at the machine, the front-end machine already assigns the corresponding document to each finance teacher and returns a paper trace to the reimbursement teacher.
  • Self-service convenience: staff and finance operate independently without contact handover, process traceable, convenient and safe.
  • Appointment function support: the document appointment function requires an appointment for finance's receipt time when submitting some documents. The smart drop-off cabinet interface can handle such documents normally.
  • Financial policy promotion: when the drop-off cabinet is not in use, the display screen scrolls various pre-set financial policies and other information to be displayed.
